The exciting role of Office Administrator & Accounts Coordinator at Biddenden is the operational backbone of our business. In this dual role, you will keep our central office running smoothly while directly supporting our trade clients (bars, restaurants, distributors) and our tourism/hospitality operations. The ideal candidate is an organised multitasker who thrives in a fast-paced environment and is passionate about delivering exceptional service to both trade accounts and visitors alongside the wider Biddenden team.

 

Key Responsibilities 

Office Administration

  • Manage daily office operations, including phones, emails and visitor reception
  • Order and track office and business supplies, equipment and inventory.
  • Coordinate meetings, calendars, travel arrangements, and internal events.
  • Maintain digital and physical filing systems, records and databases. Handling incoming calls and managing general email enquiries.
  • Manage Calendars, schedule internal and external meetings.
  • Track project timelines and ensure internal teams meet key deadlines.

 

Accounts and finance support

  • Serve as a reliable point of contact for clients, answering routine queries and routing complex issues to the appropriate department.
  • Handle basic bookkeeping, expense tracking and invoice processing.
  • Assist with raising purchase orders, billing, bank reconciliations and duty movements.
  • Follow up on overdue payments or basic account queries.
  • Compile weekly and monthly financial reports
  • Attend management meetings understand reporting and be able to communicate to the rest of the team.

 

Required Skills & Qualifications

Experience:

  • Minimum of 2 years of experience in an administrative, reception and or coordinator role. Experience in a client facing environment is highly desirable.

Software:

  • High proficiency with Microsoft Office Suite Word, Excel, PowerPoint and SharePoint. Experience with CRM tools and basic accounting software, Xero or Sage is a distinct advantage.

Communication:

  • Exceptional written and verbal communication skills with a professional, customer focused phone manner backing up Biddenden’s strong attention to detail.

Time Management:

  • Prove ability to multitask, prioritising a diverse workload under minimal supervision.

Problem-Solving:

  • A proactive attitude with a knack for anticipating office needs and resolving issues quickly.

 

Key facts:

  • Applicants must be over 18, with a full UK driving license due to our rural location.
  • Full training on Brand Biddenden will be provided as part of the induction process.
  • Monday to Friday 8am to 6pm – Salary to reflect hours and skill set.
  • 20 days holiday + bank holidays.
  • Some evening and weekend work will be required reflecting the seasonality of the business.
